Data Retention and Security

We retain personal data only as long as reasonably necessary to operate our HVAC business—typically for the duration of your equipment warranty plus five years for bookkeeping and safety compliance. Data is securely deleted or anonymized when no longer needed. We conduct regular reviews of our data practices and honor all deletion requests.

1. Scope & Purpose

Qualified HVAC (“Qualified,” “we,” “our,” or “us”) provides heating, ventilation, air-conditioning, and appliance services to homeowners and property managers in the greater Sacramento, California area. This Privacy Policy explains how we handle “personal information” as defined by the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, CCPA/CPRA).

When you contact us—whether by phone, web form, text message, or in-home visit—we gather:

  • Service details: equipment type, symptoms, preferred appointment time, photos, or diagnostic readings you provide.

We collect this information so we can (a) confirm your identity, (b) create a work order, (c) dispatch technicians or subcontractors, (d) send quotes and invoices, and (e) improve our operations and safety record. We do not purchase data from brokers or scrape social media.

3. How We Use Your Information

Your information is primarily stored in secure scheduling and customer management systems. When necessary, limited data is shared with integrated third-party providers for accounting, payment processing, or route planning. These providers are contractually obligated to use your information solely under our instructions.

4. Sharing & Disclosure

We may share relevant details with:

  • Licensed subcontractors who help us finish an installation or complex repair; they receive only what they need to reach your home and complete the task.

We do not sell or “share” your personal information for cross-context behavioral advertising, so the CCPA/CPRA “Do Not Sell or Share” right does not currently apply to our business model.

  • Opt Out of Sale/Sharing – Not applicable today because we do not sell or share data for ads, but we still honor global opt-out signals.
  • Limit Use of Sensitive PI – We do not deliberately collect “sensitive” data (e.g., Social Security numbers), but we will respect any limitation request.
  • Non-Discrimination – We will not deny service or charge you different prices because you exercised your rights.

7. Exercising Your Rights

We employ industry-standard safeguards: encrypted connections (TLS 1.3) for web forms, role-based access control inside our CRM, and annual penetration testing of core systems. While no system is perfectly secure, we train staff on phishing prevention and require strong, rotating credentials for all accounts.

9. Children’s Privacy

Our services are intended for adult property owners and managers. We do not knowingly collect information from children under 13. If you believe we have, please contact us to remove the data promptly.

Our website may link to external energy rebate or manufacturer warranty sites. These third parties operate under their own privacy policies, which we encourage you to review before submitting any information.
